Parts and Inventory Associate
Location: Hampstead, MD
POSITION SUMMARY:
We are seeking a reliable and detail orientated parts and inventory associate to support daily parts operations in a fast-paced mechanic shop servicing small equipment, heavy equipment, and light- to medium-duty vehicles. This role is responsible for parts ordering, inventory management, and ensuring technicians and shop managers have timely and accurate information regarding parts availability and status.
ESSENTIAL JOB DUTIES:
- Order parts for ongoing repairs and scheduled maintenance
- Maintain appropriate inventory levels by proactively ordering stock parts
- Serve as the first point of contact for the Parts Department, assisting employees with parts orders, providing status updates, and ensuring timely and accurate communication
- Act as the primary liaison for parts inquiries, supporting employees with order placement, tracking updates, and resolving issues efficiently
- Provide front-line support for parts operations by managing employee requests, coordinating parts orders, and delivering real-time updates on order status
- Function as the central contact for parts-related needs, assisting team members with ordering, monitoring inventory status, and maintaining clear communication throughout the process
- Track and follow up on all parts orders to ensure timely delivery
- Communicate parts status, delays, and updates to shop managers and mechanics
- Receive, inspect, and verify incoming parts and materials
- Organize and maintain a clean, efficient parts inventory system
- Assist in cycle counts and inventory audits
- Coordinate returns, warranties, and core credits with vendors
- Build and maintain relationships with parts suppliers and vendors
- Support shop efficiency by ensuring technicians have the parts they need when they need them
COMPETENCIES:
- Previous experience in parts inventory (automotive, or heavy equipment environment preferred)
- Strong organizational and multitasking skills
- Excellent communication skills (verbal and written)
- Basic computer skills and familiarity with inventory or shop management systems
- Ability to work in a fast-paced, team-oriented environment
- Knowledge of mechanical parts and equipment is highly preferred
POSITION REQUIREMENTS:
- Valid driver’s license with a clean driving record
- Ability to pass a drug screening
- Ability to pass a DOT physical
- Ability to lift and move parts and materials as needed
- Dependable, punctual, and detail-oriented
PHYSICAL DEMANDS/REQUIREMENTS:
The following physical demands are representative of those that must be met to successfully perform the essential functions of this job:
- Work environment is a combination of in office and in the shop
- Exposure to noise, dust, asphalt, equipment and varying weather conditions
- Must be physically able to repetitively lift and carry at least 50 LBS on a regular basis
- Use of Personal Protection Equipment is required
- Use of sunscreen, long sleeves, and appropriate headgear is recommended
- Must comply with the company’s drug and alcohol testing requirements
- Standing, walking, bending, climbing, and stretching are required outside in the weather for extended periods during the shift
- The ability to sit for 6-8 hours per day in 2–3-hour intervals
- Manual dexterity to handle tools and the ability to move 50 pounds are regularly required to perform routine functions
- Regular and peripheral vision sufficient to safely operate forklift equipment in an active work area and perform job functions as described above
- Hearing must be sufficient to safely operate forklift equipment in an active work area
